Is the rising number of school fee debtors giving you HEADACHE? Here are some DO’s and DON'TS OF EFFECTIVE SCHOOL FEES COLLECTION. READ BELOW


The goal of every organization is profit maximization inasmuch as cost is also involved in running the organization; this does not exclude schools as a school is also a business or better put, an enterprise which also has a business aspect. Every school wants profitability even as they commit to teaching students who are the end-point of school’s activities. Profitability is however threatened in an economy where it seems all is difficult, running cost is high and basic needs are expensive hence the need for school owners/management to be smart, tactical and friendly in collection of school fees. Below are some tips for effective collection of school fees;


BEST PRACTICES (THE DO’S)
1.  HAVE A PAYMENT POLICY
Have a payment policy which should be made known to parents/guardian at the time of enrolling their kids/wards into your school. The policy should state fees to be paid, how it should be paid (cash or at bank), the latest time at which it should be paid and consequences of not making payment as at when due.
2. INSTALMENTAL PAYMENT APPROACH:
Considering the harsh economic realities, the burden on parent to pay school fees can be eased by allowing payment to be made instalmentally; weekly, bi-weekly or monthly before resumption of school or even during the academic term/session. Instalmental payment can be as low as paying N1,000 weekly or twice weekly or paying N10,000 weekly depending on the total fee to be paid; the point is “allow flexibility in payment of fees” . Instalmental payment as this is made easier via internet banking which can be done at the comfort of one’s phone and not necessarily needing to visit the bank.
3.Human are emotional beings who love to be shown care and feel belonged. It is good to devise a means of showing care to parents/guardians in a way that makes them feel that you do not only contact them when it’s time to collect school fees but you are actually seeing them as a stakeholder to be cared for. You could send short messages (SMS) to them on their birthdays or on that of their kids/wards and during festive periods; by doing this, they feel some warmth being part of your school.

Truth be told, human beings can be forgetful at times hence a need to follow-up especially when it has to do with collecting money.

5.   HAVE AN ONLINE PAYMENT PLATFORM
We are in a busy world hence less time to queue at banks or even to come to make payment at school premises. You should enlist on an online payment platform which makes payment possible for parents on-the-go.


6. PARTNER WITH A BANK
    Help parents with payment of fees and also aid the financing of your school by partnering with a bank that provides  educational loan; this will definitely aid parents in paying school fees as at when due and thereby reduce the number of debtors. Note that this partnership with banks is not a burden to you and default of repayment of finance granted by the bank to parent is not your headache as it’s a relationship between the bank and parent concerned.


BAD PRACTICES – THE DON’TS

1. DON’T HARASS STUDENTS
Abuse is demoralizing. Emotional abuse can affect a child’s performance because at such age, the capacity to absorb and deal with emotional abuse is low. NEVER harass students because of non-payment of school fees. A letter to parents stating that their child should stay home is ok. Punishments or other forms of harassment should not be done.


2. DON’T INCREASE SCHOOL FEES INCESSANTLY
In the bid to meet up with running cost, do not hastily increase school fees without prior notice to parents to allow them to plan. There should be at least a notice period of a term before increment of school fees is effected and also the margin of increase should not be exorbitant. Incessant increase will most likely reduce number of existing students and reduce possible new enrolments.


3. AVOID DECEIT ABOUT FEES
At inception of term or during student’s enrolment, ensure that you make known the true picture of fees to be paid per term/session. Do not inform parent/guardian about a low fee with a hidden intention to increase the fee or make known a higher fee during the term/session; doing this will most likely reduce number of existing students.

4. UNHEALTHY PREFERENTIAL TREATMENT
Sentiments and preferential treatment is unhealthy to the growth and success of any business, including a school. If you desire smart results and increased profitability, the principle of equity should guide your decisions and actions as regards collection of school fees. If you won’t allow “A” in class for non-payment of school fees, then “B” should not be allowed irrespective of relationship ties or anything in common. Be fair to all; fairness to one should also be fairness to all.
